WorkInConfidence Roles

When you create a new Admin or Manager in WorkInConfidence you can select from one or more roles for that user. Depending on the role(s) selected the user will have access to different functionality in the system. Note that this doesn’t apply to ordinary users of the system who can only start a new conversation, comment in a discussion board thread or respond to a survey.

Available Roles

The roles that are available are shown in more detail in the table below along with the functions that they can perform but in brief they are:

  • Primary Admin – the ‘owner’ of the WorkInConfidence instance for your organisation
  • Company Admin – can administer any of the WorkInConfidence modules that your organisation has subscribed for
  • Conversation Admin – can administer settings related to the one-to-one Anonymous Conversations module
  • Survey Admin – can administer settings related to the staff engagement Surveys module
  • Discussion Admin – can administer settings related to the many-to-many Discussion Boards module
  • Conversation Recipient – is able to receive and response to messages sent in the Anonymous Conversations module
  • Discussion Recipient – is able to reveal their identity when responding to a discussion thread and promote threads
  • Survey Manager – can create and launch surveys in the Surveys module
  • Run Reports Admin – is able to run reports for any of the modules your organisation has
  • Cases Administrator – can administer in the Case Management tool
  • Cases Manager – is able to raise cases in the Case Management
  • Promotion Access – can access the promotions area to download marketing materials related to WorkInConfidence

The table below shows all these roles along with the functions that they are able to carry out in more detail.

Assigning Roles

Roles are assigned when creating or amending users via the Admin and Managers functionality. Please click here for more details.

Stacking Roles

A user is able to have more than one role allowing fine grained control of the access that users have to WorkInConfidence. Everyone that has an account on WorkInConfidence has the ability to create conversations, participate in discussion threads and respond to surveys (depending on the modules your organisation subscribes to and has enabled). On top of these basic roles you can also add additional ones to grant a user more functionality.

For example, you may wish to grant someone the ability to create surveys but not respond to conversations so you would add the Survey Manager roles.

Another typical scenario would be to grant someone the ability to run reports so that this can be done by someone on behalf of the organisation and then distributed. For this you would add the Run Report Admin role.

An individual can have as many roles as you feel is necessary by stacking them together. For example you might want to have someone be able to both respond to conversations (Conversation Recipient) and create surveys (Survey Manager).
